Oak Creek East Homeowner’s Association Meeting Minutes
June 27, 2007
Opening:
A meeting of the Oak Creek East Homeowners’ Association Trustees was called to order at 7:30 pm on 27 June 2007 in the Vande Water residence by Chuck Himes.
Present:
Patrick Brandt, Douglas Byers, Kathy Messie, Stephanie Murray, Mike Prasse, Dean Vande Water, Ron Carobine, Chuck Himes, Cynthia Vande Water
Approval of Agenda
1. An agenda was used and distributed.
1. NA. This was the first meeting of the trustees
1. Chuck Himes - President, Ron Carobine - Treasurer, Cynthia Vande Water - Secretary and Vice-President
1. The current balance is $51,439
2. We have 10 residences with unpaid dues for 2007.
3. 128 Association dues have been collected for 2007
4. A reminder will go out to the remaining of the outstanding dues with a $25.00 penalty fee.
5. Chuck Himes will check with Shearer Lawncare to inquire why mowings have been every 7 days with the dry weather we have been experiencing.
1. The following items were discussed. Action items were assigned to each trustee as follows:
Cyndie:
- Check with Mr. Cox regarding the recourse we have in relation to Sign a Rama.
- Request Mr. Cox to draft a letter to request the Sign Company to follow through with its care of the signs within the subdivision and the monument. Within the letter we would also request the template for the Monument.
- Find bids to replace the signs/monuments at all entrances. The main entrance being of most concern.
2. A motion for a small claims against Sign-a Rama was made by Mike Prasse and Stephanie Murray seconded the motion. Mr. Cox will be contacted to initiate legal action.
3. Dean Vande Water suggested replacing the current monument with a stone inlay. He also suggested we do the replacement of all the monuments, but one at a time.
Vote for an Audit of Association (specific years?)
- The association received an email from Bill Wiebell, dated June 20, 2007 requesting an audit of the Association. We contacted our current Certified Public Accountant whose quote was $2,000 covering one year and 750 for each year prior to 2006 to have this done. The members who were in attendance unanimously voted against an audit citing cost.
- Patrick Brandt made a motion for Oak Creek East Homeowner’s Association not to do the audit and Dean Vande Water seconded the motion.
- A physical vote was conducted of the members who were in attendance and they unanimously voted against the audit as well.

- Cynthia Vande Water did not cast a vote as Dean Vande Water did for 8410 Haines Court.
- Chuck Himes did not cast a vote as Kathy Messie did for ColdHarbor Court.
- Bill Wiebel was not in attendance at the 6/27/07 meeting but gave Cynthia Vande Water his proxy to vote. This was all viewed by all in attendance.
- All hard copies of the vote and proxy authorization are kept on file.
New Business
1. Proposal to extend the term of
Trustees. This would maybe reduce the need to
replace Trustees at one time every year. Existing members would be on
the board when a
new member or members would need to be replaced.
A motion to accept this proposal is not needed.
2. A proposal to offer an incentive for resident to serve as Trustees and to get people involved. Maybe a reduction in the annual dues. Need to check with surrounding subdivisions for further information.
3. A motion was made to table this topic until counsel has been sought.
Neighborhood Picnic $500 budget
Mike Prasse has graciously offered to head up the committee for the Neighborhood Block Party. The date has been set for August 11 on Saturday, rain date August 18th. Cynthia Vande Water has offered her help as well. If you or a family member is employed at a beverage company or other company that would be willing to donate products, please contact Mike or Cynthia. If you have ideas to offer and thoughts regarding entertainment for the kids or if you would like to volunteer your time in other ways we would be happy to hear from you. 4. Fence need to be re-coated.
Cynthia needs to contact other fence companies to do a price comparison. Rocky Fork has done it in the past, August 2002, members in attendance thought they are a little pricey.

1. Chuck Himes adjourned meeting at approximately 8:30 PM. The next general meeting will be at 7:30 pm on September 19.
